Ensure compliance with the standards established by the company regarding access control for visitors, suppliers, contractor, following up until the closing of their entrances. Attend calls in general to process the needs of internal and external customers. Serve as an assistant to the export department to channel customer invoices properly and promptly and assist in documentation and customs processes. Provides help and assistance in all the activities related to the department.

RESPONSIBILITIES / ESSENTIAL FUNCTIONS:

Ensure continuity of service for receiving calls and visitors

Manage access of visitors and / or contractors:

Park access with the Free Zone Park’s security personnel.

Internal access and registration, so that all persons are properly identified within the facilities, thus complying with OAS and OEA standards and policies.

Ensure Control and security of the company’s access badges and visitors/contractors ID’s.

Register and keep track of all work tools, of any type, brought by contractors and or visitors prior to access to the facility.

Receive and forward invoices or packages as well as handing checks, acting as a link between suppliers and third parties and internal employees or processes and assisting the accounts payable process. Must also give support to Finance by notifying availability of checks.

Assist with internal activities coordination

Manage occupancy and maintenance of Conference Rooms.

Provide General information related to the position and its relationship with the other departments for making critical decisions to the Area Management or internal clients.

JOB REQUIREMENTS/SPECIFICATIONS: Note that (i) computer literacy and working-level skill with the basic MS Office suite (Word, Excel, Outlook, Explorer), (ii) good verbal and written communication skills, (iii) good interpersonal skills, and (iv) the ability to work well both individually and in a team environment are default requirements for all Jostens exempt and salaried nonexempt employees.

Required:

Term student or graduate in Accounting, Business Administration, or related areas

Intermediate English

Intermediate MS Office

Strong Organizational Skills

Customer service experience in administrative environments

Dominican ID

Reside in Santiago

Preferred:

Intermediate MS Power Point

Intermediate Microsoft Excel

Canva Knowledge
